Printer Installation: Adding a Printer to Your Computer

Installing a printer on your laptop or desktop computer requires establishing the physical or network data path and installing the software drivers that translate your files into printer-ready commands. Here is the recommended installation workflow for modern Windows and Mac systems.

Part 1: Installing a Printer on Windows 11 & 10

Windows Automatic Network & USB Device Discovery

1. Open the Start Menu and select Settings (Gear icon).
2. In Windows 11, click Bluetooth & devices > Printers & scanners. (In Windows 10, click Devices > Printers & scanners).
3. Click the Add device button at the top.
4. Windows will scan your local Wi-Fi network and USB ports. Locate your printer name and click Add device.
5. Allow Windows 1–2 minutes to download compatible drivers and create the local print queue.

Advanced Manual Installation When the Printer Isn't Found

If Windows cannot find your printer, click The printer that I want isn't listed > Add manually.
• Choose Add a printer using an IP address or hostname.
• Select TCP/IP Device, enter your printer's local IPv4 address (e.g. 192.168.1.150), and click Next.
• Select your manufacturer and model from the list or click Have Disk to point to downloaded official driver files.

Part 2: Installing a Printer on Mac (macOS Sequoia & Sonoma)

Mac operating systems use Apple AirPrint technology for seamless driverless printing on certified models:

macOS Adding AirPrint or Network Printer

1. Click the Apple menu () > System Settings.
2. Scroll down the left sidebar and select Printers & Scanners.
3. Click the Add Printer, Scanner, or Fax... button on the right.
4. Under the Default tab, click your printer. In the Use: dropdown at the bottom, select AirPrint (or Secure AirPrint).
5. Click Add to finalize installation.

Part 3: Verifying Installation & Test Printing

Always print a test page before sending multi-page documents:

  • Windows: In Printers & scanners, select your printer > Printer properties > click Print Test Page.
  • Mac: In Printers & Scanners, click your printer > Options & Supplies > Utility > Open Printer Utility > click Print Test Page.

Frequently Asked Questions

Yes. As long as the printer is connected to your central Wi-Fi router or wired network switch, any computer on that local network can follow the installation steps above to add the printer independently.
