Printer Scanner Setup & Troubleshooting Guide

While printing requires sending document streams to the device, scanning is an inbound imaging operation that relies on distinct software protocols (TWAIN, WIA, or ICA). Frequently, a multifunction printer can print documents perfectly while scanner software reports "No scanner was detected" or "Cannot communicate with the scanner."

Part 1: Setting Up Scanner Functions on Windows 11 & 10

Step 1 Verify Windows Image Acquisition (WIA) Service

1. Press Windows Key + R, type services.msc, and hit Enter.
2. Scroll down to find Windows Image Acquisition (WIA).
3. Right-click WIA, choose Properties, verify the Startup type is set to Automatic, and ensure Service status says Running.
4. Check the Dependencies tab to ensure Remote Procedure Call (RPC) and Shell Hardware Detection are also active.

Step 2 Use Native Windows Scan Application

Instead of clunky third-party utilities, open Microsoft Store and ensure Windows Scan is installed. Open Windows Scan from your Start menu, choose your scanner source (Flatbed or Feeder), specify Color Mode, File Type (PDF/JPEG), and destination folder.

Part 2: Setting Up Scanner on Apple Mac (macOS)

macOS Using Apple Image Capture & Preview

1. Connect the multifunction unit to your Mac via Wi-Fi or USB.
2. Open Applications > Image Capture.
3. Select your scanner under Devices or Shared in the left column.
4. Adjust resolution (300 DPI is optimal for text, 600 DPI for photographs), select destination folder, and click Scan.

Common Scanner Error Fixes

  • "Scanner is Busy or in Use": Power cycle the printer to reset internal optical carriage gears. Ensure no other application (such as Adobe Acrobat or manufacturer software) is holding an open lock on the TWAIN interface.
  • ADF (Automatic Document Feeder) Not Feeding: Clean the pick-up roller assembly inside the document feeder lid with a dry microfiber cloth to remove paper dust.
  • Scan to Computer Button Fails: "Scan to Computer" requires a resident background utility running on the PC (e.g. HP Scan Assistant, Epson Event Manager, or Brother ControlCenter) to listen for device broadcast packets.

Frequently Asked Questions

Basic Windows/Mac print drivers do not include scanner communication packages. Furthermore, your computer's firewall or third-party antivirus may be blocking incoming UDP port 161 (SNMP) or TCP port 9100. Installing the manufacturer's Full Feature Software package resolves this.
WIA (Windows Image Acquisition) is Microsoft's standardized driver model for basic scanning in Windows applications. TWAIN is a more feature-rich industry standard used by professional editing programs like Photoshop for advanced controls such as color depth, multiple resolutions, and descreening.
